Notes/Definitions

Full and Part-Time Enrolment

Full-Time and Part-Time enrolment is reported in the same document whenever possible. Full-Time enrolment is listed first in the document, followed by Part-Time.

Full-Time enrolment totals can be found in the middle of the document, following the Full-Time report. Part-Time totals can be found at the end of the document, following the Part-Time report.

Undergraduate Fiscal Full-Time Equivalent (FFTE)

The FFTE is represented by a student whose study load in the fiscal year is equal to the normal full-time study load for his/her program and level of registration in the academic year.  An academic year consists of a period of studies (including examinations) normally comprising the months of September to April/May inclusive, or the equivalent.

Using this definition, an undergraduate student taking a full load in both Fall and Winter will be 0.5 FTE for Fall and 0.5 FTE in Winter for a total of 1.0 FFTE.

Graduate Full-Time Equivalent (FTE)

Counting for graduate students is as follows: 1 full-time graduate student equals 1.000 FTE per term; 1 part-time graduate student equals 0.300 FTE per term in the Spring, Fall and Winter terms and 0.500 in the Summer session.

New Students Report

This report is based on USIS data to determine if the Student is a New Admit, and the Program in which they have registered. However, the Student's Application data is used to determine if the Student is an OAC or Non-OAC Applicant.

Academic Year

An Academic Year spans from the Spring term to the following Winter term. For example, the 2010/11 Academic Year includes Spring 2010, Fall 2010 and Winter 2011.

Summary Level

Current enrolment reports are provided in 3 separate summary levels (Faculty, Department and Program) and historical reports with 4 summary levels (Academic, Faculty, Department and Program), allowing users to select the appropriate level of detail, depending on their data requirements.

Counting Double Majors

Prior to the Spring 2000 term, double majors were counted according to the First major recorded. That is, a History - Political Science double major student would be allocated solely to the History Department. Commencing with the Spring 2000 term, double majors are allocated proportionally to each major. For example, a History - Political Science double major is allocated 50% to History and 50% to Political Science.

Please note this allocation method provides partial head counts in some of the reports.

Counting Double Degrees

Prior to the Spring 2001 term, double degrees were counted according to the First degree. That is, a Psychology - Education double degree student would be allocated solely to the Psychology Department. Commencing with the Spring 2001 term, double degrees shall be allocated proportionally to each degree. For example, a Psychology - Education double major would be 50% allocated to Psychology and 50% allocated to Education.

Please note this allocation method will provide partial head counts in some of the reports.

Academic Level Terminology

Prior to the Winter 2000 term, undergraduate students would generally progress from academic level Year 1, to Year 2, to Year 3, to Year 4, requiring completion of two semesters worth of course credits to advance to the next level. Commencing with the Winter 2000 term, undergraduate students shall progress from Semester 1, to Semester 2, 3, 4, and so on, through to Semester 8, generally requiring completion of one semester's worth of credits to advance to the next level.

In many of the reports on this web site, the semester designations have been abbreviated to SM plus the semester number (example, second semester academic level is abbreviated to SM2).

Although the year academic levels and the semester academic levels cannot be directly compared since the course credit thresholds for each are slightly different, SM1 + SM2 equate to Year 1, SM3 + SM4 equate to Year 2, SM5 + SM6 equate to Year 3, and SM7 + SM8 equate to Year 4.

CO-OP Students on Work Term

Beginning in Spring 2003, Co-op students are required to register in their co-op workterm course while on "work term", therefore these students are counted in USIS reports for that semester.

Reports by Academic Level

Please note the data in the Reports by Academic Level are formatted according to the reporting requirements of the Ministry of Training, Colleges and Universities. The Ministry allocates Masters 1 students (M1) as undergraduate students in this report. Please note all other reports on this web site will report M1 students as graduate students.

Head Count Course Enrolment Timeline Report

This is a special report on Full or Part-Time enrolments at various intervals throughout the term, in order to visualize the trends in the those enrolments. The two important dates in the Timeline reports are the Add/Drop date (the last date to add/drop a course with a full tuition refund) and the VW date (the last date for a voluntary withdrawal from a course). Some Timeline Reports also show a WD column (complete Withdrawal), which designates the number of students who were registered in courses by the Add/Drop date, but were not registered in any courses by the VW date.

Timeline reports are not based on USIS reports.

Semester Enrolment Unit

Semester Enrolment Unit (SEU) measures enrolment by looking at course enrolments. Generally, one SEU is one student taking one course for one semester.

Reports from Web Pages at the University Web Site

Student enrolment data reported on the Institutional Analysis Web Site is generally based on the Provincial USIS reports, which represents a standard for counting students as of a specified date. If you link to other pages at the University (such as the University of Windsor Registrar's Web Site), the data reported may be the actual student registration at the end of the term. Hence, it is possible that the data on the Institutional Analysis Web Site may not reconcile with data reported on other University Web Pages.
